How Intelligent Editing Ltd collects, uses, and protects your personal information when you use FirstEdit.
Intelligent Editing Ltd ("us", "we", or "our") operates FirstEdit ("the Service").
This Policy describes the ways that the Service collects, uses and discloses personally identifiable information ("PII") that relates to the individual user of the Service ("you").
This Policy applies to PII collected:
Unless otherwise defined in this Privacy Policy, terms used in this Privacy Policy have the same meanings as in the FirstEdit Service Agreement, accessible at: firstedit.ai/terms-of-use
By visiting, accessing, submitting content to or otherwise using the Service, you agree to our collection and use of PII as this Policy describes.
This Policy may change from time to time. If we make a material change to this Policy, we will notify you either through the email address you have provided us with, or by placing a prominent notice on the Service website. Your continued use of the Service after any modification means that you acknowledge the change and agree to the practices that we disclose in the Policy.
The PII that you manually provide us through or in connection with the Service may include:
In these ways, we may ask you for your name, email address and other contact information, and information about how you have used the Service.
As you use the Service, we may use automatic data collection technologies to collect information about your equipment and browsing actions. These may include:
We also may use these technologies to collect information about your online activities over time and across third-party websites or other online services (behavioural tracking).
We collect this information to help us understand how people use the Service, how we can improve its speed, how we can make it easier for people to use it, and in some cases to advertise the Service or other products that we offer.
We will not collect additional categories of personal information or use the PII we collect for materially different, unrelated, or incompatible purposes than those stated above or elsewhere in this Privacy Policy.
We may use your PII:
If we use your email address to communicate with you (with the exception of transactional emails regarding your use of the Service), we will provide you with the option to unsubscribe or opt out of future emails.
FirstEdit is an AI-powered web application, accessible via web browser, email or API. When you access FirstEdit, you grant us access to your email address so you can set up or sign into your account.
At your request, FirstEdit accepts your document, applies your configured house style rules and terminology preferences using AI, and returns an edited version with all suggested changes tracked for your review. All data is encrypted throughout the transfer.
Once the Service has completed its check, your original Document is deleted from all servers immediately. Where the Service produces an edited Output file for you to download (either via API or a Word document), that file is made available for up to 24 hours and then deleted permanently. In no case is any Document retained for more than 24 hours.
FirstEdit may, from time to time, ask for your permission to use corrections that you make to its Output in order to improve the accuracy and reliability of its rule configurations. The following conditions apply to any such consent:
We may also collect general usage information, such as when requests are made, the type of request, and how often you use the Service, to better understand how our service is being used. Before we do this, we remove any details that could identify you personally. This means the information we work with is aggregated and anonymised.
We use this information to improve the service, develop new features, and support our customers more effectively. We may also use it to understand overall trends in how our product is used, but never in a way that identifies you or your organisation.
We will retain your PII only for as long as is necessary for the purposes set out in this Privacy Policy.
We may disclose aggregated, anonymised information about our users without restriction or notification.
We will not sell, rent, license or disclose PII to third parties except:
The technologies we use for automatic data collection may include cookies. A cookie is a small file placed on the hard drive of your computer or mobile device. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some parts of the Service.
Unless you have adjusted your browser settings to refuse cookies, our system will issue cookies when you visit the Service. Third-Party Services may use cookies in connection with your use of the Service as well.
You may opt out of our use of these tools with you, and you can learn more about how to do so at the Digital Advertising Alliance's Webchoices website, European Advertising Standards Alliance (EASA)'s Framework and the Network Advertising Initiative's Consumer Opt Out website.
We use certain Third-Party Service Providers to operate the Service. These providers include Facebook (including Facebook ads, also known as Meta ads), Google (including Google Analytics), Anthropic, Microsoft (including Outlook, SharePoint, and Microsoft's Azure Open AI Service) and Outseta. We may use additional Third-Party Service Providers from time to time as well.
Third-Party Services collect, use and share personally identifiable information (PII) pursuant to their own privacy and security policies. Some of them, including Google, may use location information and other PII to serve advertisements to consumers on other websites. By using our Service, you consent to our providing PII with Third-Party Services to be used in accordance with their own privacy and security policies as they exist today and as they may change in the future.
For more information about how Google's services use PII, see "How Google uses information from sites or apps that use our services."
You can opt out of having your activity on FirstEdit made available to Google Analytics by installing the Google Analytics opt-out browser add-on. The add-on prevents the Google Analytics JavaScript (ga.js, analytics.js and dc.js) from sharing information with Google Analytics about visits activity.

Once we receive your personal information, we enforce strict procedures and security systems to prevent unauthorised access. When appropriate, robust encryption methods are used, both in transit and storage. We also implement measures and controls to safeguard your personal information including, but not limited to, staff training, continuous monitoring and improvement, effective data segregation within our environments, and network access controls.
When you use our Service, your information, including your PII, may be transferred to, and maintained on, computers located outside of your state, province, country or other governmental jurisdiction where the data protection laws may differ than those from your jurisdiction. If you are located outside United Kingdom and provide information to us, we may transfer the information, including personal information, to the United Kingdom and process it there. Your consent to this Privacy Policy followed by your submission of such information represents your agreement to that transfer. If a dispute arises regarding the international transfer of data, you agree that the courts of England and Wales shall have exclusive jurisdiction over the matter.
To access or use the Service, you must be at least 18 years old and have the requisite power and authority to understand and consent to the practices described in this Policy.
